Hi All, I am pretty desperate for help here. I am planning my company's annual management review. It is my first for this company and I am finding it a nightmare.

The agenda is simple, and covers the review requirements of all 3 Standards. The problem, making the minutes simple and focusing people.

I am in a company which hasn't really moved on since the 1994 Standard and has so many 'procedures' its unreal. I have been trawling the cove for a while now and haven't really found what I am looking for, possible because it doesn't exist. OK, so what am I after. Management review minutes, in one document, covering all 3 areas - SHEQ (safety health environment quality), or the presentation, documents that anyone sends out prior to the review taking place, just to get people to focus on the task at hand. Believe me folks, any help will be GREATLY appreciated.

Everything in this place is just so onerous and labourious and done at least 3 or 4 times over. I need to simplify it all, even for my own sanity, and bring this company up to date, as soon as and as simply as I can. The (ISO 9001) Standard does not require 'minutes.'

However, the Standard requires 'Decisions and Actions' related to improvement of process and product and resource needs. Emphasis on ' Actions.' So, a simple action item (to do) list formatted as follows would help: • A clearly defined and agreed upon action item. • A responsible person (who may delegate, but remains accountable). • A due date. You can keep this list on your computer system, accessible by 'Top Management', so that Managers are able to track progress on the action items. Keep it simple and thus user friendly.

However, this is a VERY traditional (old fashioned) company and they expect an in depth powerpoint presentation of what's happened during the previous 12 months together with an in depth report of the same. I am trying to introduce changes but there is a lot of resistance still.

When in sent my initial agenda etc, I was told there was too little detail I am sure I can effect change, but just baby steps. So I am looking for something in between I suppose, if that makes sense.

When I see the words 'integrated', I automatically think to myself, 'How can I effectively integrate this or that into our daily business'? Like you, we also rely on meetings to get this done, but as others have stated this is certainly not required, if done effectively. Attached is a management review roadmap which kind of gets to my point. The idea is to get away from covering all the inputs in one long boring meeting and 'integrate' them into our existing meetings, so that we do not overload management with a bombardment of inputs that may not apply to everyone - focused meetings are where it should be. Remember that not everything needs to be covered at once, so you have a certain amount of freewill there, but it might require that you keep a watchful eye on good recordkeeping techniques.
